المستندات المطلوبة لتسجيل الموردين

مستندات الشركات السعودية الأساسية التي تطلبها معظم مسارات تسجيل الموردين.

Most vendor registration processes in Saudi Arabia ask for the same core company documents: commercial registration, tax and Zakat records, social insurance, Saudization status, and proof of your company’s address and bank account. The exact list depends on the organization and on your supplier category, so this guide gives you a solid base to prepare from.

Getting these documents ready before you start saves more time than any other step. Most delays in registration come from missing, expired or inconsistent files rather than from the registration form itself.

The core documents most buyers ask for

The following documents come up again and again across Saudi vendor and supplier onboarding. Treat this as a preparation list, and always confirm the final requirements with the organization you are applying to.

  • Commercial Registration (CR), showing your legal name, activities and validity
  • VAT registration certificate, where your company is VAT registered
  • Zakat and tax certificate issued by the tax authority (ZATCA)
  • GOSI certificate showing your social insurance status
  • Saudization or Nitaqat certificate, where it applies to your business
  • Chamber of Commerce membership certificate
  • National Address registration for your company
  • Company profile describing your business, products or services and experience
  • Identification documents for the owners and authorized signatories
  • Bank confirmation letter or IBAN letter

Documents that depend on your category

Beyond the core set, buyers ask for different things depending on what you supply. A contractor may be asked for project references, manpower details, equipment lists, licenses and financial information. A manufacturer may be asked for product specifications, factory details and quality certificates. A consultant may need professional registrations and qualifications.

Common additional documents include Articles of Association, ISO or other quality certificates, financial statements, client references, an organizational chart, and a letter authorizing the person who submits the registration. Only provide these when they are requested, because unrelated extra files make a submission harder to review.

Additional documents for foreign-owned companies

Companies with non-مالك من دول مجلس التعاونship are often asked for investment licensing documents, usually a MISA license, in addition to the standard set. Foreign companies registering without a Saudi entity may follow a different path altogether and may be asked for a certificate of incorporation and home-country registration documents. Requirements differ from one organization to another, so confirm the exact list before you begin.

Buyers review what you upload, and clear files move faster. Follow these habits:

  • Upload complete, legible files with every page included
  • Check the issue and expiry date on each certificate before you upload it
  • Replace any document that has expired or is about to expire
  • Keep file names simple and descriptive so reviewers can find each document
  • Use the file type and size the portal asks for

If a document is not in Arabic or English, ask the organization whether a translation is required and in what form. Many buyers collect these files through supplier platforms, which our SAP Ariba registration guidance explains.

Keep every name and number consistent

Your legal company name, commercial registration number, address and owner details should be the same across every document and every field in the form. A slightly different company name or an old address is one of the most common causes of clarification requests. Before you submit, put your documents side by side and check them against each other.

Common mistakes that delay registration

  • Uploading expired certificates
  • Names or addresses that differ between documents
  • Missing pages or unclear scans
  • Sending documents that were not requested
  • Assuming one organization’s list applies to another
  • Not checking the registered email for follow-up requests after submission

A simple preparation routine

Create one folder for your company and put every current document in it. Add a short sheet listing each document, its issue date and its expiry date. Once a month, check that nothing has expired. When a registration opens, you will be able to answer quickly instead of searching for files, and you will avoid most of the mistakes above. If you are also preparing a D-U-N-S Number, our D-U-N-S Number guide lists what to gather.

Frequently asked questions

Are the same documents required by every organization?

No. There is a common core, but each organization decides its own list and may change it, so always confirm with the specific organization and category.

Do I need a Saudization certificate?

Many registrations ask for it, but not all. It depends on the organization and on your business activity.

Does a foreign company need different documents?

Often yes. Foreign-owned companies may be asked for investment licensing and incorporation documents in addition to, or instead of, the standard Saudi set.

What happens if one of my documents has expired?

The registration will usually be paused or returned until you upload a valid one, so check dates before you submit.
